How to Book a Meeting Space

Our meeting spaces can be booked via Microsoft Outlook, and it's as simple as booking a regular meeting.

If you need to book equipment for your meeting, click this link and fill out the form

To book a meeting:

  1. Open Outlook
  1. At the top of Outlook, click "new meeting"New_Meeting.png
  1. Title your meeting, include participants, and set the meeting date and time.
  1. Click "Location", or type "Chi"Location.png
  1. Select the meeting room where you'd like to have your meetingRooms.png
  1. Verify your choice and make sure that the room you selected has the tech you need. Click "OK", then "Send"
  1. If the meeting room is available, your will receive a confirmation email. If the room is unavailable, your meeting will be declined. If you requested a Tier 3 room, the email will say "tentative" until your request is approved or denied. If you do not receive an email within a few minutes, please reach out to Ron, Katie, or Jillian.

Please note that booking a Tier 3 meeting space requires manual approval from leadership. You will receive confirmation if your request is approved. If you have any issues, please reach out to our on-site technicians at schiller@encore-us.zendesk.com.

In Boardroom and Inspiration, the Lenovo Hub splits the video signal from Teams internally. What this means is if your meeting is on Zoom, plugging in the HDMI cord would function as an extra monitor. This means that when you're having a Zoom meeting in these rooms, you are locked in to the extra monitor view only and will not have access to view gallery and content separately on the monitors in the room.
