Fill in critical information on time and accurately to make sure you have enough computing power for your event!
Chime Live & Chime Go are hosted on the Amazon Web Services (AWS) platform. The features that Encore has configured on the platform allow us to automatically scale computing power to ensure Chime events run smoothly. For an overview see Chime Live & Chime Go Site Lifecycle.
Project Managers are responsible for entering CRITICAL INFORMATION into the settings for each event.
This information is used to drive the server automation and if missing or incorrect will be directly responsible for a poor user experience for your event and other events.
Please ensure that you fill in the information in a timely manner and that it is accurate.
There isn't much to fill in but it is important that you understand the awesome things that happen behind the scenes when you do it right and how it will ruin your day if you don't.
1. Name - No Impact
Set the event name
2. Type - No impact
Set the event type - this has no impact on your event computing power.
3. Estimated Max Concurrent Users - CRITICAL
This number is the main driver of how much computing power your Chime event site is given on the show days. Too little power and your users may have a poor experience.
So what do we mean by estimated max concurrent users?
- We don't mean how many people you loaded into the CMS as sometimes we load 10,000 but only really expect half (5000) to show up.
- We do mean how many we think will actually be using the platform at the same time.
- We do want to know the MAXIMUM, not the average because certain actions cause spiky demands on computing power (e.g. login).
Servers cost money! If you overestimate your numbers, you will be allocated too much computing power, create unnecessary costs to the business and affect the profitability of the event. Don't "double up" just in case, be as accurate as possible and revise your numbers as the show day approaches.
4. Show Start Time - CRITICAL
What are Show dates?
- These are the Days of the Show only.
- For On-Site Shows:
- You should include rehearsal days when there are iPads supplied and being tested.
- Client arrival days, if they are being asked to login on arrival, or being supplied with an iPad.
- These dates are not to include the dates when the site is available to participants Pre or Post Event or only for on-demand use.
- These dates are very important and must be set correctly.
Critical Automation
- The start time of the show in the CMS triggers the automated transfer of the Chime Site from the Pre & Post Server to the Show Server.
- The Show Server is automatically configured to scale up to enough power and resources to comfortably deliver the event successfully (based on the Estimated Max Concurrent Users and other metrics).
- The Chime Site transfers from the Pre & Post Server to the Show Server between 01:00 and 05:00 (depending on your server region) on the morning of the show.
- Each site transfer takes five minutes or less (though there may be a queue of sites for your region)
5. Show End Time - CRITICAL
Automation
- The end time of the show in the CMS triggers the automated transfer of the Chime Site from the Show Server to the Pre & Post Server.
- The Chime Site transfers from the Pre & Post Server to the Show Server between 01:00 and 05:00 (depending on your server region) on the morning after the show.
Multiple Show Days
If you have multiple show days back to back, enter the largest number of concurrent users as the site can't scale when it is up and running on the Show Days server.
Example: You have a 2 day event with 100 people on day 1 and 500 on day 2. You should enter 500 users in the CMS from the start.
Roadshows
If you have a roadshow with time between show days, when the show is over, wait till the day after the show (when the site has automatically moved back to the Pre&Post server) then enter the dates and numbers of users for the next show day.
Show days have a cost for computing power which can be significant so don't leave sites live on the Show Day server without good reason.
