How do Encore Zoom licenses work?

This article is for property-managed events.

 

In this article:

Each venue is allowed a free (Encore-managed) Zoom account which you will be given the first time you request Zoom for a property-managed event. Your venue account will be given a license upgrade for the duration of an event. If you have more than one event at the same time, you will be given additional pool accounts for the duration of your event.

 

Getting your Venue (Basic) Zoom account

Use this form to request your (Basic) venue Zoom account if your venue doesn't already have one. Otherwise, you will be provided with a venue Zoom account the first time that you request a Zoom meeting or webinar for a property-managed event via a Compass Opportunity.

Currently, there is no One Time Passcode required to log into the account.

Managing your Zoom account

Once you have the login credentials, you are responsible for distributing them to whoever needs them at your venue.

  • DO NOT provide account login details to the customer
  • DO NOT provide your account details to other venues

Venue Zoom Account (event license upgrade)

  • Paid events using Zoom must use a licensed Zoom account.
  • Each venue is allowed a free (Encore managed) basic Zoom account.
  • If you need a paid-for service, we will license your venue Zoom account for the event duration.

  • Control your own meeting settings (within guidelines)
  • Make last-minute changes (within guidelines)
  • Create your own meetings & webinars
  • Get reports & analytics quickly and send them to your customers.


The venue account will have the following formatting:

 

Pool Zoom Account

If your venue Zoom account is in use (or you need a webinar link a long time in advance), you will be provided with a pool account.

Currently, there is no "One Time Passcode" required to log into Encore Zoom accounts.

Booking

All events requiring production resources are now done via Smartsheet, initiated from Compass
For these events the “Zoom/Streaming” box on the “Event Learning” tab would be expected to be ticked
Once your Compass opportunity has been created and filled out, click the “Sync to Smartsheet” button (found on the “Internal Info” tab)

 

If your event is identified as property-managed the Support Center team will contact you to provide you with Zoom licenses or accounts for your event. If your event needs production to be assigned then the Production team will provide you with Zoom links.

  • Zoom license upgrades
  • Pool Zoom accounts.
