New to Zoom or the way that Encore uses Zoom?

You are in the right place.

Below is an overview that will be useful to any Encore team member involved in delivering events.

What is Zoom?

Zoom is a cloud-based video conferencing platform that can be used for video conferencing meetings, audio conferencing, webinars, meeting recordings, and live chat.

Encore & Zoom

Encore uses Zoom as part of our Event Technology solutions. The majority of use is by our venue in-house teams and production teams.

 

Zoom as a Tool

Zoom is used by an Encore technician to bring remote attendees into a room.

Zoom is a component as part of a package of equipment e.g. Laptop, video switcher, Zoom meeting. The customer would not generally be involved in how the Zoom meeting is set up or operated.

Zoom as a Platform

Zoom is used for its meeting or webinar features. The customer may run the meeting with or without the help of a technician.

 

Property Managed events vs Production-managed managed events

For less complex events, the property may manage its event using its own team. For more complex events the production team may be involved.

 

Booking

Zoom is booked through your normal event booking process, by checking the [Virtual Meeting (Zoom)] checkbox and making sure that the "sync to Smartsheet" checkbox is checked.

 

Getting your Zoom

If your event is a property-managed event where the venue team is managing the event in-house then Zoom license upgrades / licensed accounts will be allocated to you for the duration of the event by the Support Center team.

If your event is production-managed or has a VES (Virtual Event Specialist) assigned then the production team will supply any Zoom accounts required.

Zoom Setup

If your event is a property-managed event where the venue team is managing the event in-house then you will be able to configure and schedule your own meetings.

Operation

If your venue team is managing the event in-house then you will operate the Zoom meetings to the level needed by the customer.

Support

Property-managed events are supported by the Support Center which will provide your licenses, accounts and post-event recordings. The Support Center can also help you with Zoom issues or reach out to production to help you.
