Access, Review and share Zoom Cloud Recordings

You can access and share cloud recordings in your venue Zoom account or pool Zoom account. Zoom automatically records various different views in the cloud. Your account is also configured to record both a single audio file and an audio file for each participant.

 

Find the cloud recording

  • Log into your venue Zoom account or your temporary pool Zoom account.
  • Click on the [Recordings] tab in the navigation.
  • Click on the [Cloud Recordings] tab
  • Use the standard or advanced search to find the recording you need.
  • Click on the recording to see the details page for the recording

Check recordings

  • Preview the video and audio recordings by clicking on the view or views that you would like to preview.
  • Check that you have the correct recording for the event.

Check sharing settings

  • Check the sharing settings
  • Share this recording - ON -  publicly
  • Apply a seven day expiry date to the link
    • The 60 day limit overrides the sharing link limit. If you share on day 59, the customer will only have one day to download the files
  • Viewers can download - ON
  • Viewers can see transcript - ON
  • View recording on demand - OFF
  • Passcode protection - ON (locked on by default)
  • Done - click done to save

Always preview the recording first to make sure you are sending the link for the correct meeting to the correct client.

Cloud recordings are a backup, you will have been asked to make a local recording and the meeting or webinar navigator package will include the equipment required to carry out a local recording.

Cloud recordings are not edited and will likely also show tech testing or rehearsals. 

Cloud recordings will be automatically deleted after 60 days.

Send sharing information to customer

  • All Files - copy the sharing information using the [Copy shareable link] button.
    • Advantage - the customer will get all the files and won't come back to ask you for a different view in the future
    • Disadvantage - the collection of files can be quite large and take a long time to download.
  • Individual files - copy the sharing information using the link icon in the file list
    • Advantage - individual files can be quicker to download
    • Disadvantage - the customer may come back to ask you for a different view in the future which will not be available because of the 60 day data retention policy.

The Zoom cloud recording sharing link is not intended for the customer to post publicly for all the attendees to download. The link is intended for the customer to be able to receive their files.

Downloading files for editing / post production

  • Download all the files or specific files
    • Video
    • Audio
    • Audio Transcript
    • Chat file
  • Edit as required (venue or creative services)

Supplying edited files to the customer

  • Share on OneDrive - will possibly be slow to upload for you or download for the client.

The OneDrive sharing link is not intended for the customer to post publicly for all the attendees to download. The link is intended for the customer to be able to receive their files.

 

Recording Analytics

You can see the number of views and downloads on the recording analytics page.
