The Zoom account lets you configure how meetings and webinars work, view upcoming events, schedule meetings & webinars, and access reports. For Encore Zoom events, you will only need to access the sections for Meetings, Webinars, Settings & Reports.

The Zoom account interface is explained below including the parts that are not used by Encore. These are included for your information in case your customer talks about them. Customers may use Zoom in different ways in their own organizations.

In this article:

Account Login details are for Encore employees only. Please don't give out account login details to anyone who is not in the Encore team at your venue.

Some of the settings are locked at the organizational level and you won't be able to change them.

Some of the settings are pre-set for the account for your convenience and you can see if they have been modified and have the ability to reset them to the preset value.

The settings for one meeting may need to be different from another meeting so the account settings should always be checked before your rehearsal/meeting.

Account settings cannot generally be changed after a meeting has started without removing all the participants. This is confusing for the participants and should always be avoided.

Account Pages

There are several pages in the account but you won't need to use all of them, just the following ones.

  • Meetings
  • Webinars
  • Settings
  • Reports

Explanations for every section have been included below for your reference.

Profile

Not used (except for view license and get host key)

Don't change anything on this page

The Profile page provides you with an overview of your account information.

You can check the license currently assigned to your account and if you need the host key you can get it from this page. ddd\\\

 

Meetings

On the meetings page, you will need to use the following tabs.

  • Upcoming
  • Previous

You can view, edit, start, and delete scheduled upcoming one-time or recurring meetings. You can also view previous meetings.

  • Don't delete a meeting AFTER it has started - EVER
    • So we have a record of our account usage
    • In case we need to get any information from it after the event.
  • Meeting Templates - not used

Webinars

On the webinars page, you will need to use the following tabs.

  • Upcoming
  • Previous

You can view, edit, start, and delete scheduled upcoming one-time or recurring webinars. You can also view previous webinars.

 

Zoom Video Webinar allows you to broadcast a Zoom meeting to up to 50,000 view-only attendees, depending on the size of your webinar license (Encore standard is 500). Webinar licenses start at a capacity of 500 participants and scale up to 50,000 participants. As the host or a panelist, you can share your screen, video, and audio in a webinar, while attendees can use the chat or question and answer options to interact with the host and panelists.

 

Webinars can require pre-registration, with the option for the host to add custom registration questions, or registration can be turned off for attendees to join by simply clicking a link at the time of the webinar. Webinars can be held once, reoccur in a series, or can be the same session held multiple times.

Personal Audio Conference

Not used

Personal Audio Conference (PAC) allows paid subscribers to host meetings through PSTN (phone dial-in) only. The PAC conference ID is a predetermined 10 or 11-digit conference ID that can be started by the host (or participant who knows the host key) by entering the host key provided on your profile page when prompted by the auto-attendant.

Personal Contacts

Not used

Users can store personal contacts including names, email addresses, phone numbers and more in Zoom by uploading a CSV file. Contacts saved in your account will be saved in your account and synced with all of your Zoom desktop client and mobile app under Contacts tab > My Contacts section. If you have a Zoom Phone license, you can also call your contacts using Zoom Phone.

Settings

Most of the configuration that you will need is in Settings.

On the settings page, you will need to use the following tabs.

  • Meeting
  • Recording

The meeting tab has the following sections that you will need to access.

  • Security
  • Schedule Meeting
  • In Meeting (Basic)
  • In Meeting (Advanced)

 

Below is a summary with details in the Account Settings section later in this guide.

You can configure how the following features work but we will explain in more detail all the common things you might want to do when setting up an account for a meeting or webinar.

Account Profile

Not used

The Account Profile page provides you with visibility of your basic account information.

Reports

The reports section allows you to view information about:

  • Usage - View meetings, participants, and meeting minutes within a specified time range
  • Meetings - View registration reports and poll reports for meetings
  • Webinar - View registration, attendee, performance, Q&A, poll, and survey reports for webinars
